Service Notice Reminder: Multi-Factor Authentication (MFA) Enrolment

Technology Services encourages the use of Multi-Factor Authentication (MFA) whenever it is offered, including at work. MFA is now available for securing your access to Microsoft 365 resources, including email, Teams, Word, Excel, and PowerPoint etc.

MFA decreases your chances of an information security breach by 99%. It only takes a few minutes to register and a short time to grow accustomed to the change. The enrollment steps are below.  

ACTION:

  1. Preparation:
    1. Read the Step by Step Guide, watch the Step By Step Video or review the HUB Guides and FAQs.
    2. You will need both a Computer and a Mobile Device to get started.
  2. Enrol in MFA:
    1. On your computer, launch the set-up wizard: https://aka.ms/mfasetup and follow the instructions.
  3. Finalize your MFA:
    1. You will receive an email confirmation from Technology Services.
    2. On your computer, log into the Microsoft365 Portal (acadiau.ca) and follow the instructions to complete your enrolment.
  4. Provide Additional Contact Methods:
    1. TS recommends that you provide additional/back up contact methods, such as text and email. You will need to have immediate access to the additional method as Microsoft will contact it for verification purposes.
  5. Get Help:
    1. If you experience troubles enrolling, confirming, or using MFA, contact the Service Desk (902-585-4357 or Live Chat).

BACKGROUND:

Why your account’s security is so important?

We know that university accounts are under constant attack and protecting your account is a critical step in safeguarding your personal information and work. Attackers’ goals vary, but can include:

  • Payroll diversion where the attacker takes over your account and asks for changes to your direct deposit information, so your pay is deposited into their bank account.
  • Identity theft where information in your account is used to apply for credit cards or other services in your name.
  • Theft of university information, such as research data, or alumni, employee, and student information.
  • Stealing exam information or changing grades.

How MFA helps secure your account?

MFA is the best way to protect your Acadia and personal account and the information in it. With MFA enabled, even if someone guesses or steals your password, they would not be able to access your account without additional verification.

The numbers of times you authenticate will decrease over time.  If you receive an authentication request that you did not trigger, please contact the Service Desk.

What happens when you enable MFA?

Occasionally, you’ll need to take an extra step during the login process. For example, if you’re logging into email on your computer, you’ll first enter your username and password. Then, on your phone, you’ll be asked to approve the login. Once you’ve approved the login, the process is complete. This will not happen every time you login. You can expect it when you first set it up and then when you change computers, devices, or browsers.
