Service Notice: Sharing a Document
Do you need to send an important file to someone?
Important confidential information should never be shared by email as email accounts are easy targets for hackers. If you send a file through email, it should be encrypted. The password for that file should never be sent by email, or even by cell text message. Doing this is like locking the front door of your house, but leaving it wide open when you leave. It negates the reason of encrypting the file in the first place. If you wish to share an encrypted file, call the receiver and speak to them directly (not voicemail) to give them the password.
Instead, try file sharing and collaboration options available through Microsoft 365 – OneDrive, Teams and SharePoint. All faculty, staff and students have access. Sharing a link to the OneDrive file lets you control the document sharing restrictions. This includes who specifically has access (anyone with the link to specific people), the power to edit, and whether there are expiration dates.
